Custom Property Management Software
How SolGuruz Built a Landlord, Tenant, and Admin Platform in 12-14 Weeks
SolGuruz built a custom property management software for Property Dollar in 12-14 weeks. The platform includes three apps - landlord, tenant, and admin with automated rent collection, lease renewal reminders, maintenance request tracking, real-time financial reporting, and in-app communication across all three user roles. Built with a modular architecture on AWS with OAuth 2.0 authentication, encrypted data handling, and compliance alignment for the Fair Housing Act, Fair Credit Reporting Act, and state landlord-tenant laws.

Project Overview
Property Dollar came to SolGuruz with a clear brief: build a custom property management software tailored to their operator workflows, not another white-label dashboard bolted on top of DoorLoop or Buildium. The client had outgrown spreadsheet-based rent tracking, email-based maintenance coordination, and separate tools for tenant communication and financial reporting. They needed one platform with three user roles - landlord, tenant, and admin - each purpose-built for its job.
SolGuruz delivered the full build in 12-14 weeks. The platform covers rent collection with late-fee automation, lease renewal workflows, maintenance request tracking with landlord-to-tenant messaging, document storage for leases and receipts, and a centralized admin dashboard showing real-time occupancy, cash flow, and maintenance trends. Each panel was designed against its user’s actual workflow rather than forcing all three roles into the same interface. This case study walks through the problem space, the full development process, the tech stack, the compliance framework for US property management, the 2026 competitive landscape versus DoorLoop / Buildium / AppFolio / Yardi, and the outcomes Property Dollar reported after launch.

Understanding the Build
01
What Is Custom Property Management Software?
Custom property management software is a tailored real-estate platform built for a specific operator - landlord, property manager, or real-estate firm - instead of using off-the-shelf tools like DoorLoop, Buildium, AppFolio, or Yardi.
Custom builds include landlord, tenant, and admin panels tied to the operator’s workflows, branding, pricing model, and compliance requirements. Typical scope covers rent collection with automated late-fee calculation, lease management with digital signatures, maintenance request tracking, tenant screening with FCRA-compliant background checks, financial reporting, document storage, multi-property management, and integrations with accounting tools, IoT devices, and smart locks.
Unlike SaaS property management tools that price per unit and limit customization, custom software belongs to the operator - their data, their workflows, their brand - with no per-unit ceiling and no forced feature set. This case study covers one such build.
02
How Does Property Management Software Work?
A property management software transaction - whether onboarding a tenant, collecting rent, or handling a maintenance request - follows a five-stage flow. Each stage touches a different panel: landlord, tenant, or admin. Modern custom property management solutions are designed to centralise these workflows into a single operational platform.
STEP 01
Property & Unit Setup
Landlords or admins add properties to the system, each with unit counts, rent amounts, lease terms, and documents. The system generates a unique property record with role-based access so tenants only see their own unit and relevant building-level information.
STEP 02
Tenant Onboarding & Lease Management
New tenants receive a secure invite, complete a digital application (with FCRA-compliant background check consent for tenant screening), sign the lease electronically under the E-SIGN Act, pay the security deposit, and gain access to their tenant-app dashboard. The lease is stored, auto-tracked for renewal dates, and linked to rent schedules.
STEP 03
Rent Collection & Payment Processing
The platform generates monthly rent invoices, sends reminders before the due date, collects payment via ACH or card (PCI-DSS compliant), applies late fees per lease terms, and issues digital receipts. Landlords see real-time collection status; admins see cash flow across all properties.
STEP 04
Maintenance Request Lifecycle
Tenants raise maintenance tickets from the tenant app with photos and descriptions. The request flows to the landlord or admin, who assigns it to a vendor, tracks resolution status, and closes the ticket when fixed. Every step is logged for audit and recurring-issue analytics.
STEP 05
Financial Reporting & Analytics
The admin dashboard aggregates rent collection, deposits, expenses, and maintenance costs into real-time income-expense reports. Landlords and admins see occupancy rates, cash flow, outstanding payments, and year-over-year trends without exporting to spreadsheets.
03
Why Did Property Dollar Need a Custom Property Management Software?
Property Dollar’s growth had outpaced its tools. Operating across multiple properties with a mix of tenants and maintenance vendors, the team had hit three operational walls that off-the-shelf tools could not solve:
- Off-the-shelf platforms charge per unit and lock workflows into the vendor’s model - scaling meant rewriting internal processes around DoorLoop or Buildium instead of the reverse
- Communication sat in three places - email for landlords, phone for tenants, and separate chat tools for vendors - creating delays on maintenance and dispute resolution with no audit trail
- Financial tracking ran on spreadsheets, which made reporting slow, reconciliation error-prone, and real-time visibility impossible for landlords with more than a handful of units
Property Dollar wanted software that belonged to them - their branding, their workflows, their data model, and their pricing control. SolGuruz was selected because the team could deliver a custom build within the timeline and budget of a SaaS license, not a multi-quarter enterprise integration.
From rent automation to maintenance workflows, get a fully custom platform built and ready - faster than traditional SaaS setups.
Problem & Client Requirements
The biggest design challenge was serving three distinct user roles - landlord, tenant, and admin - without compromising the experience for any of them. Landlords need operational dashboards; tenants need two-tap simplicity; admins need cross-property analytics and compliance audit trails. Shoving all three into one interface means every user carries functionality they never use and permissions they should never have.
Regulatory compliance added a second layer. US property management touches the Fair Housing Act (anti-discrimination in tenant screening), the Fair Credit Reporting Act (background check consent and accuracy), state landlord-tenant laws (security deposit rules, eviction notice requirements), the E-SIGN Act for digital leases, and PCI-DSS for card-based rent payments. The build had to bake compliance into architecture, not bolt it on post-launch.
Finally, the platform needed to scale beyond Property Dollar’s launch footprint without a rebuild. The architecture had to support multi-property operations, role-based access control, real-time analytics across hundreds of units, and future AI integrations for predictive maintenance and rent optimization.
What Solutions Did SolGuruz Deliver?
SolGuruz built a full three-panel custom property management software for Property Dollar with role-specific interfaces, automated finance, and real-time analytics. The solution delivered:
Landlord App
Landlord-side interface showing property status, earnings by property, pending maintenance requests, tenant communication threads, and document access. Designed for fast decision-making on rent, renewals, and repair approvals.
Tenant App
Tenant-side mobile app built for two-tap rent payments, one-tap maintenance ticket creation with photo upload, lease visibility, document access, and direct messaging to landlords or property managers. Designed against the “I need to pay rent in 30 seconds” benchmark.
Admin Panel
Web-based admin panel for property managers and operations teams with centralized property overview, tenant management, vendor management, rent collection oversight, maintenance dispatch, document storage, financial reporting, and real-time analytics dashboards. Role-based access controls surface the right data to the right role.

The Role of the SolGuruz Team
We have played an intense and important role in our client's real estate transformation journey by launching this property management software. Our team's dedication was flawless throughout, from ideation to the final launch of this AI-powered and cloud-based property management solution.
UI/UX Design
For the Property Dollar platform, our UI/UX team had to design three distinct experiences inside one product - fast decision-making for landlords, two-tap simplicity for tenants, and data-dense oversight for admins. Instead of forcing one interface to serve every role, we mapped each panel to how that user actually works.
Admin Panel: For the admin panel, we designed a clean, control-center-like dashboard with easy access to analytics, property overviews, and communication logs. We mainly focused on data clarity and management flow here.
Tenant Panel: For this special tenant panel, we considered the importance of simplicity and speed. Here, the tenants could pay rent, raise maintenance tickets, and view lease terms with just a few taps.
Landlord Panel: This exclusive panel gave landlords quick insights into property status, earnings, and tenant requests. Our goal was to make things easy and manageable in one single place.
Development & Launch
Post-design, our full-stack development team built the frontend, backend, and database for Property Dollar's three-panel platform. We focused on clean, modular code that could be extended easily as Property Dollar added properties and features post-launch.
Admin Panel: We built the admin backend to handle real-time aggregation across hundreds of units - rent collection status, occupancy, and maintenance trends - without performance dragging as the property count grows.
Tenant Panel: On the tenant side, we prioritized payment reliability and speed, with offline-first handling so rent payments and maintenance requests queue and sync the moment connectivity returns.
Landlord Panel: For landlords, we wired the web interface directly into the finance and maintenance modules, so updates flow through automatically - approvals trigger notifications, payments reflect instantly, and nothing needs a manual refresh to stay current.
SolGuruz Development Process - From Research to Post-Launch
The property management software was delivered using SolGuruz’s standard 10-stage lifecycle for SaaS product development. Each stage has a fixed duration, a named deliverable, and a defined team; no undefined work, no scope drift
STEP 01
Discovery & Market Research
Founder interviews with Property Dollar leadership, competitor teardowns across DoorLoop, Buildium, AppFolio, and Yardi, and workflow mapping for landlord, tenant, and admin personas. Deliverable: discovery document, competitive landscape report, and prioritized feature matrix tied to Property Dollar’s operational pain points.
STEP 02
Requirements & Scope Finalization
User stories and acceptance criteria in Gherkin format for every feature. Data flow diagrams for rent collection, lease renewal, maintenance dispatch, and financial reporting. Scope locked with explicit carve-outs for Phase 2 features (IoT smart-lock integration, AI rent optimization, predictive maintenance).
STEP 03
UI/UX Design
Figma-based design system covering landlord app, tenant app, and admin panel. Each panel is designed against its user role: landlord for decision speed, tenant for transaction simplicity, and admin for data density. Usability testing with real landlords and tenants across multiple property types before developer handoff.
STEP 04
Architecture & Technical Planning
System design covering role-based access control, rent payment pipeline with PCI-DSS segregation, lease document storage with encryption, real-time analytics aggregation, and multi-property data model. The database schema is designed for audit immutability - every rent payment, lease change, and maintenance action is logged.
STEP 05
Web Development
Frontend development of the admin panel and landlord web interface. Component library built for dense table views, real-time dashboards, and multi-property navigation. Performance-tested for admin teams managing 200+ units without interface degradation.
STEP 06
Mobile App Development
Tenant-side mobile app optimized for two-tap rent payment and fast maintenance ticket submission with photo upload. Offline-first data handling so payment intents queue when connectivity drops. Push notifications for rent reminders, lease renewals, and maintenance status updates.
STEP 07
Backend + API Development
Node.js backend handling authentication, role-based permissions, rent payment processing, maintenance request routing, financial reporting, and notification orchestration. RESTful APIs with Swagger documentation for clear contract-first development across mobile and web clients.
STEP 08
Quality Assurance & Testing
Functional testing across 15+ device profiles for the tenant mobile app (iOS + Android, various screen sizes). Penetration testing by an independent security reviewer. Load testing at 2-3x projected launch volume. End-to-end testing of rent payment flows, lease signing, maintenance lifecycle, and role-based access enforcement.
STEP 09

Explaining Challenges to Solutions
How We Delivered this Property Management App
By overcoming these critical challenges and delivering extremely viable solutions, we created a property management solution for landlords, tenants, and administrators.
Problem:
Landlords, tenants, and property managers relied on emails, calls, and separate tools, which caused delays in resolving maintenance requests and lease issues.
Solution:
We integrated real-time chat and notification features within the platform, allowing landlords, tenants, and property managers to communicate instantly-no more switching between emails or phone calls. This in-app feature of conversations reduced delays and made issue resolution faster and trackable.
Problem:
Outdated Processes, such as rent collection, lease renewals, and tenant onboarding, were done manually, leading to human errors and a lack of audit trails.
Solution:
We also empowered the entire property management app with automated rent collection, late fee calculations, and digital receipts. The admin panel also supported full financial tracking, including deposits, deductions, and real-time cash flow reports.
Problem:
The client lacked a centralized system where all stakeholders could track property updates, financial reports, and documents in one place.
Solution:
Our app developers designed three panels tailored to each user group with clean, intuitive interfaces. Each panel had customized access levels, workflows, and dashboards for unmatched accuracy and clarity of operations.
Problem:
Rent payments, deposits, and expense tracking were managed through spreadsheets and emails, making reporting slow and prone to discrepancies.
Solution:
We implemented an automated finance module that tracks real-time rent payments, deposits, and maintenance costs. It generates clear income-expense reports, sends rent reminders, and ensures complete visibility for landlords and admins, removing the need for manual spreadsheets.
Problem:
Due to scattered data and outdated tools, the client could not generate real-time insights on occupancy rates, maintenance trends, or payment statuses.
Solution:
We built a real-time analytics layer into the admin dashboard, aggregating occupancy rates, maintenance trends, and payment statuses into live reports - so landlords and admins get instant visibility without exporting data or waiting on manual updates
Key Features of the Custom Property Management Software
Seven features that define how SolGuruz built Property Dollar’s platform - from automated rent collection to in-app communication across landlord, tenant, and admin roles.
Automated Rent Collection & Late-Fee Calculation
Rent invoices are generated on schedule per lease terms, tenants receive reminders before due dates, payments are processed via ACH or card under PCI-DSS compliance, late fees auto-apply, and digital receipts are issued instantly. Landlords see collection status in real time - no manual reconciliation, no spreadsheet tracking.

Centralized Dashboard Across Properties
A single admin dashboard consolidates occupancy rates, rent collection status, maintenance queues, financial metrics, and tenant communication logs across every managed property. Role-based filters surface what matters to each user type.

Co-Tenant Management
Multiple tenants share a lease with individual rent tracking, shared maintenance request visibility, and co-signed lease documents. The system handles payment attribution, partial payments, and joint communication threads cleanly.

Maintenance Request Tracking
Tenants raise tickets with photos and descriptions from the tenant app. Landlords or admins assign vendors, track resolution, and close tickets in-app. Historical ticket data feeds recurring-issue analytics so landlords spot chronic problems before they repeat.

Digital Document Storage
Leases, addenda, tenant applications, inspection reports, receipts, and compliance documents are stored in encrypted folders with tenant and landlord access controls. E-SIGN Act-compliant digital signatures live inside the system - no DocuSign round-trip required.

Real-Time Financial Reporting
Rent collected, deposits held, expenses tracked, maintenance costs logged - all aggregated into real-time income-expense reports, cash flow dashboards, and year-over-year trend views. Landlords see operational health without building spreadsheet formulas.

In-App Communication
Real-time chat and notifications across all three roles - landlord, tenant, and admin - replace scattered emails and phone calls. Every conversation logs for the audit trail, and maintenance threads attach directly to the related ticket.

Property Management Software Compliance & Regulatory Framework
Property management software operating in the US must comply with multiple regulatory layers. The Property Dollar build was architected against each of these:
Fair Housing Act (Anti-Discrimination)
Tenant screening workflows were built to prevent discrimination based on race, color, religion, sex, familial status, national origin, or disability. The platform logs screening decisions with audit trails so landlords can demonstrate compliance if challenged.
Fair Credit Reporting Act (FCRA)
Tenant background checks capture explicit consent before pulling credit or criminal reports, provide adverse-action notices automatically when a screening denies an applicant, and log every FCRA-compliant step for regulatory review.
State Landlord-Tenant Laws
Security deposit handling, eviction notice requirements, rent control rules, and lease termination procedures vary by state. The platform supports state-specific workflow gating so landlords in California, New York, or Texas see the rules that apply to their jurisdiction.
E-SIGN Act & UETA (Digital Leases)
Electronic signatures for leases, addenda, and rental applications follow the federal E-SIGN Act and state UETA requirements. The system captures signature intent, timestamp, device fingerprint, and consent to electronic delivery, creating legally enforceable digital contracts.
PCI-DSS (Rent Payment Processing)
Card-based rent payments are routed through PCI DSS-compliant processors (Stripe). Card data never touches SolGuruz-managed infrastructure; tokenization handles the sensitive fields, reducing the compliance surface for Property Dollar.
Data Privacy (Tenant PII)
Tenant personally identifiable information - Social Security numbers, bank details, and background check results - is stored with field-level encryption and strict access controls. The platform supports data deletion on request per state privacy laws (CCPA, Virginia CDPA, and others).
SolGuruz Security Credentials
SolGuruz is ISO 27001:2022 and ISO 9001:2015 certified, with security practices audited against both standards - meeting or exceeding the security posture expected for property management software handling rent payments and tenant PII.

Apoorva Ranade
Business Analyst, SolGuruz
Property management is operationally heavy, but the software shouldn’t feel that way. We structured the platform so users only see what they need, when they need it. That decision drove both adoption and efficiency post-launch.
Direct insight from the SolGuruz team that built Property Dollar
Security Practices Implemented
SolGuruz architected the Property Dollar platform with security baked into every layer - encryption, authentication, network hardening, app integrity, and disaster recovery - so rent payments and tenant PII stay protected end-to-end.
Data Encryption
Data is encrypted in transit and at rest. Transport uses HTTPS (SSL/TLS) certificates. Storage uses full-disk encryption on database instances plus field-level encryption for tenant PII, lease documents, and payment credentials.
OAuth 2.0 Authentication
OAuth 2.0 governs authentication flows, preventing unauthorized access and ensuring only authenticated users reach the system. Scope-based permissions limit what each token can access - a tenant token cannot access admin data, and a landlord token cannot access cross-landlord tenant information.
AWS Firewall Rules
Firewalls are configured on AWS instances and databases with allow-listed services. Inbound access is restricted to essential ports, and admin access requires role-based permissions with multi-factor authentication.
Source Code Obfuscation
Source-code obfuscation is applied to release builds of the tenant mobile app so the distributed binary is difficult to tamper with or reverse-engineer. Sensitive keys are stored in AWS Secrets Manager and never bundled with the app.
Automated Backup and Rollback
Cloud instances take scheduled backups at regular intervals. Rollback to a specific version is automated recovery from a bad deployment that takes minutes, not hours - which matters for a platform where rent payment integrity cannot be compromised.
Project Outcome
Property Dollar launched the custom property management software on schedule and reported measurable operational improvements within the first two quarters post-launch:
15-20 hrs / week
Saved on Manual Rent Reconciliation
Replaced spreadsheet tracking with real-time payment dashboards so rent collection no longer eats up two business days a week.
